I record a podcast. Then my AI agent, Bax, does almost everything else. This is the exact playbook, from the moment a booking lands in my calendar to the last promo post, step by step. Steal it.
Legend: 🤖 BAX = my AI agent does it. 🙋 TONY = I do it or I approve it. Nothing goes public without my say-so on the steps marked TONY.
🎙️ The big picture
- 1 recording = 1 YouTube video, 1 Spotify episode, 1 newsletter, 1 LinkedIn newsletter edition, 1 carousel, 2 to 3 highlight clips, 2 guest tiles, 1 thank-you and share kit.
- Weekly rhythm: edit and YouTube as soon as I approve it. Spotify on Saturday 8am. Beehiiv newsletter Tuesday 5am. LinkedIn edition 6am the same morning. Clips start the day after.
📅 Phase 1: The booking hits my calendar
- A guest (or a would-be guest) books through my calendar link. The invite lands in my calendar.
- BAX: spots the new booking and texts me one question: "Is this a pod recording?" Every time. No guessing.
- TONY: replies yes or no. If no, it stays a normal Google Meet and Bax leaves it alone.
🎥 Phase 2: Set up the recording room
If yes, BAX:
- Creates a basic free Zoom meeting for the booked time.
- Pastes the Zoom link into the calendar event description.
- Removes the Google Meet link so there is only one way in.
- Sets camera and mic on for everyone, mute-on-entry off, no auto-recording.
- Saves the event and sends the update to the guest.
- Texts me to confirm, with the calendar link.
🔎 Phase 3: Before I hit record
- BAX: researches the guest (LinkedIn, company, recent news) and sends me a short brief with the best angles and questions.
- TONY: records the episode. I drop the file in a Google Drive folder and ping Bax.
